GPS attendance for field and office staff: how it works

Short answer

GPS attendance lets employees mark attendance from their own phones. The employer sets each office location and a radius, called a geofence, and check-in works only when the phone is inside it. Field and work-from-home staff can be allowed to check in from anywhere. Because location is personal data, tell employees what is collected and why, collect only what attendance needs, and record their consent in line with the Digital Personal Data Protection Act.

How geofenced check-in works

  1. The employer saves each workplace as a point on the map with a radius, for example 150 m.
  2. The employee opens the app at work and taps check-in. The phone reads its location once.
  3. If the phone is inside the radius, the check-in is recorded with the time. If not, it is refused.
  4. Check-out works the same way at the end of the day.
  5. The day's status (present, late, half day) is worked out from these times and the company's rules.

GPS accuracy varies. It is good in the open and weaker deep inside buildings, basements and dense markets. Set the radius with this in mind: too small and genuine check-ins fail, too large and someone can check in from the tea stall down the road.

Stopping proxy attendance: device lock and selfie check-in

A geofence proves where the phone is, not who is holding it. Attendance apps close this gap in two common ways:

  • Device lock. Each employee account is tied to one phone, so a colleague cannot log in on another phone and mark attendance for a friend.
  • Selfie check-in. The app takes a photo at check-in, which a manager can review or the system can match. This adds a check on identity, but a face photo is more sensitive personal data and needs clear notice and consent.

Rules that turn check-ins into attendance

Check-in times become attendance only after the company's rules are applied: shift timings, grace period, how many late marks make a half day, the half-day cut-off time, weekly offs and holidays. Set these once, per person or per roster, so the same rule applies to everyone.

Privacy and consent under the DPDP Act

An employee's location is personal data. The Digital Personal Data Protection Act, 2023 (DPDP Act) sets general duties for anyone who collects personal data. Its rules are being brought into force in stages, so check the current position. In general terms, an employer using GPS attendance should:

  • Give notice. Tell employees in plain language what is collected (location at check-in and check-out), why (attendance and payroll) and who can see it.
  • Collect only what is needed. Reading location at check-in and check-out is enough for attendance. Continuous background tracking collects far more and is harder to justify.
  • Have a lawful basis. The Act works on consent and on certain legitimate uses, which include some purposes of employment. Many employers record consent as well, so there is no doubt.
  • Keep it secure and limited. Restrict who can view location and identity data, and do not use it for anything other than the stated purpose.
  • Respect employee rights. Employees can ask what data is held about them and ask for correction or deletion, subject to records the employer must keep by law.
